The database cleanup utility has been revised - it no longer populates the drop-downs (containing the invalid locations) automatically. You now have to click a button ("Check Database") first. This has a great advantage regarding the speed at which the form opens.

We have also added a facility whereby you can request Regions. The Regions are used mostly on the websites - those of you who have the Keep Me Informed facility activated on your website, will definitely know what I'm referring to. Those of you who have visited the CyberProp.com website and have tried out the Keep Me Informed facility will also recognize the Regions concept.

The Regions make it simpler for the website users to find listings in a certain area, the trouble is that there's still a lot of places that have not been divided into any specific Region.

We'd like to get you, the users, involved in the definition of the Regions and that's why we've added the module to the Database Cleanup Utility.

Agent Manager Grid - Now includes the ID number

Property Manager

 With validation errors in the Property Manager a red Warning will now be displayed just above the Erf No. If all is fine it will display 0 Warning.  Should you want to know more about the warning click on the Warning button.

Agent Manager - Agent Teams

It is now possible to select multiple agents in one team.  Click on New to add a new Agent, complete all the relevant fields.  Now click on the Is Team checkbox and select the agents belonging to the team by clicking on the Team Members button. The first agent selected will be the team leader.

Alternatively an existing agent can be changed to a team leader.

Teams will be marked with a (T) in all agent selection pull down menus.

Of importance:

• On the website all information of all the team members will be displayed when doing a property search


• Should a prospective client wish to contact the agent by SMS an SMS message will ONLY go out to the team leader


• Should a prospective client wish to contact the agent by email ALL team members will receive emails provided that they have a valid email address

• When data is exported to other websites that is not hosted by us (e.g. Propertytrader) ONLY the detail of the team leader will be sent through and displayed on these websites

The problem with sending emails from within CyberAgent has now been fixed.

Property Manager - Pictures

It is now possible to add any text to pictures. The following options are available:

• Font and font size selection


• Font colour


• Horizontal alignment (Left, Center and Right)


• Vertical alignment (Top, Center and Bottom)

It is also possible to have multi line text. With multi line text, the text will only be aligned top and left.

A preview is available and once you are happy with the layout, you can "Replace" the current picture with the preview.  Before the picture is converted a copy is made of the picture before the conversion. This allows one to revert back to the previous version of the picture.

How to find it:

In the Property Manager, click on the "Pictures" button.  On the right side of the form, click on the "Add Sold Text" button to activate the text screen. When closing, if asked to save, select Yes to save changes to the property record in order to force a record update to the Internet with the next Website Update

Very Important

You will need to download new files in order to make use of this utility. After updating to the latest version, go to the Website Update Form. If you see a button on the right, "Download Picture Files", click on it. It will download the files needed in order to use this utility.

This functionality will be applied to CyberAgent Anywhere soon.

Property Manager - Grid Setup

Previously if logged in as an agent linked to an account it was possible to view the owner information like telephone numbers. This has now been changed. If not your contact, stars will be displayed in sensitive fields.  The same goes for quick print results.

Known Issues

There is a problem in sending email from CyberAgent. We are currently working on the problem and will have a solution soon.

It now displays commission Including and Excluding of VAT examples. It also displays the commission exclusive as well as commission percentage excluding VAT.

The default formula has also changes and is based on the selling price times the commission plus VAT. Your current calculations are still intact. If you want to use the new calculations, click on Load Default. This will load the default formula. Remember to click Save after you have loaded the default formula.

New Quick Print Button for Property Viewed for the current Buyer.

New Feature: Strict Search on Contact Manager's Filter page. After a release in November 2006 - where we adresses the issue of the search on Price, some clients came back saying they prefer the search to work in a "strict" fashion. We have therefore brought in a "strict" tickbox which you can tick before performing your search. The main difference between the Strict search and the non-Strict search is that the non-Strict search takes the buyers' minimum and maximum price into consideration whereas the strict search takes only the max price into consideration.

Referral Module
You can now CC your franchisor/Group administrator whenever you send a referral.

"Price on Application" now supported - this allows you not to specify a price for a listing.

Update Manager
Updating of sales data now updating correctly.

New slide show. You now have 3 options. Old slide show name replaced with "Touch Screen".

New slide show only shows basic detail and it's also possible to customize colours.

Agent Manager
Print error - fixed!

SMS module - when sending sms's to multiple agents, it could sometimes happen that more sms's were sent than what you actually selected. Fixed!

Error when printing an Auction type property - has been corrected.

REEP
There was a bug in the querying/importing routine to/from REEP. This has been corrected.

Sending reports via Email
You now have the option to add the username/password of your outgoing mail server. Some mail servers are starting to refuse mail that has not been authenticated.
The anomaly where a duplicate attachement was made to the email has also been corrected. There is one requirement however - you need to download this file wwipstuff.dll to your CAGENTv3 folder, replacing the existing one. If you have any troubles with this - pls contact our support team.

In order to access the Data Utilities menu you now need administrator privileges.

To edit any report you either need the Edit Reports privilege or administrator’s privilege.

To send a SMS you either need the SMS privilege or administrator’s privilege.

Referral Manager
The Referral Manager report has been updated to accommodate the referral of sellers.

Quick Filter

This new feature in the Property Manager allows you to filter
(search) on ANY of the Property Manager's fields.

Ever wanted to search for properties where the price per square metre
does not exceed R3,500. Well - now you can! In fact you'll be able to
create a multiple filter that will produce the results for the query:
properties where the price per square metre does not exceed R3,500 AND
where the suburb is equal to "Noordheuwel" AND the status is
equal to "Active". Then you'll save this filter as "Noordheuwel
Bargains" and you'll be able to create a report matching these criteria
in a flash.

How do you do this? Simply right-click the field you want to filter on
and specify the criteria. The filter is instantly applied and the field
will colour red to indicate that it is participating in the filter. You
can now save the filter or continue to add more criteria to your filter.

The form below is filtered on selling price above R950,000, where the
property is for sale and the city is equal to Krugersdorp. Once a filter
is set on a field you can:

• Add an additional filter

• Delete a filter
  
  

Do this by right clicking on the field.

When clicking the “Save/Show Filter” button the form
below is displayed.

To save this filter for future use, type a name in the “Filter
Name” text box, add a title to be used with quick printing, add
a descriptive note and click on “Save”.

We will be adding the same filtering function to the “Contact
Manager” within the next month.

New Developments - Units

It is now possible to edit the square meter of the unit directly in the
unit grid if lined to a property.

A Quick Print button have also been added.

Changes: It is not possible to change the Date Created field after you have saved for the first time. In other words, you can only change this date the first time you add the new contact.

Bug fix - error fixed when printing in the Filter page tab

Sales Manager:
It is now possible to:
- Modify the agent's PAYE percentage manually.
- Spesify the cost amount and not only the percentage. Click the check box between Cost and Amt (Amount)

Bond commission calculation is now automated. In other words, if you change the Bond ammount and the bank specified does have a caclculation for bond commission, the commission will be calculated automatically

Selling price, owner price, profit and percentage can now auto calcualte. It is also possible to edit the formula.

Update Manager
Error Management pull down menu added. This pull down menu will contain a list of errors in the last update. Click on the “Goto” button to open the Property Manager on the specific property.

Agent and development pictures now updating.

Update Manager

It is now possible to backup all your property, contacts (buyers & sellers) and agent data to our server. We have added this functionality for two reasons:

1. Backup. In the case of a hardware crash or a break-in, we can restore this data.
2. CyberAgent Mobile and master administration access. Master administration access should only be used by someone like the principal and will be able to edit data of any agent within the agency. These changes will be synchronized back to the office. Please contact support regarding the monthly cost hereof.

Agent/Client Viewing

An Advanced Search Criteria button has been added to the main screen.

This button will activate a more advanced search screen and is not recommended for touch screen mode.

It incorporates all the search criteria of the Touch Screen search as well as a number of additional fields like Agent, Street, Internet Property number and more. To view the results, click on the Print button at the bottom of the screen. This button activates the View / Print Selection button of the main form but does not force you to return to the main form in order to view and print the results.

The View / Print Selection form has also changed. You can now double click on any picture that will open a form containing enlarged pictures of the current property.

A new Advanced Print button on the View / Print Selection form will open a form containing 12 buttons. These buttons can all run customized reports. Normally a CyberAgent support person will create these custom reports and email them to you.

Known Issues
Properties with more than one picture only displays the first picture. Attention is been given to this issue right now.
This has been resolved

All properties uploaded to the Internet websites now also needs to have a valid agent selection. The property will not update if this rule fails. Hopefully this will help customers to get intouch with the right agent when requiring information about a property.

Previously all data was updated to the website and then been placed in a queue for updating to all linked sites. As a result of increased agencies using CyberAgent and the number agencies updating daily, a bottleneck were forming with regards to the updating of the various websites.

The new Update Manager will now:
- only update modified data
- only synchronize pictures for modified properties
- update each linked website individually
- allow you to query the property status of every website
- allow you to delete all properties from all websites
- allow you to synchronize all images separately
- display validation errors

Form Layout

A. Used to update property to the Internet. After execution, the result of each website update will be available for viewing. The view, click on desired website under the Websites Updated list box and then click on Update Response radio button. Detail about the update will be displayed under N. If errors occurred, the Error Count radio button will contain a list of errors for each website.

B. This will return the active property count for each website listed under Websites Updated list box. After execution, click on the Property Counts radio button and select the website under Websites Updated to display the information in N.

C. The Delete Property on Website button will delete all data from all sites. Use this only when instructed by support personal. It will only increase the time of your next update as all property will be updated with the next Update Websites execution.

D. Internet numbers are automatically updated every time Update Websites are executed. Internet numbers only gets allocated after a successfully update of a website. This means that a new property¡¦s Internet number will only be updated with the next Update Websites. Use this if you want to update the Internet number without doing Update Websites.

E. By default, only pictures of modified and new properties are being compared and updated. It may happen that while updating previously not all the images were synchronized. You can use this function in order to updated these failed pictures. After execution, click on Sync Pics radio button. The result will be displayed in N.

F. Opens a Internet explorer and displays information regarding the latest changes made in CyberAgent.

G. Website information enables you to modify contact information and view account balances, reprint invoices and statements.

H. Used to update CyberAgent

I. Change the way your computer connects to the Internet. Some connections/networks do not allow FTP access. FTP access is used to copy pictures to the Internet server. FTP access is much faster than HTTP access and therefore it is recommended that you change the Update Mode to ¡§Display while sending¡¨ option. If your connection/network does not support FTP, change it to ¡§Use HTTP when sending¡¨. Please contact support should you experience any difficulty with the sending of pictures.

Property Manager - Prospects
Some users, displaying the property features on the prospects report reportded a bug with the features display. This has been corrected.

Bug Fixes
A bug in the pictures module may have caused the property to be deleted instead of the picture. This has been corrected!

A bug in the P24 download module has been fixed!

Canvass Manager - CyberTrade Import
Now also supports ADSL imports.

Now also emails the Buyers Requirements.

Administrator privileges are required when deleting a record. This adds a level of protection against rogue users deleting valuable data.

Website Updating
The upload of data have been changed to accomodate high volumes of user uploads.

-Invert Selection tick box
This will allow you to reverse the selection. E.g. let’s say you have set the filter to properties in two suburbs. and click on search you will have 20 properties displayed of 60 properties. When the invert selection tick box is checked and you search again, 40 properties will be selected.

Canvass Manager
Filtering on telephone number ranges is now possible. The first 5 digets ( (011) ) will be ignored.

The module will now prompt you with the number of properties matching your criteria and if you wish to download them.

You also have the option to download only those listings that have Property24 listing numbers - this will in essence update their listing status.

You can now pre-define which of your agents operate in which suburbs and then the downloaded properties will be auto assigned to the correct agent.

CAM
Some minor bug fixes

The search form also makes provision for custom ranges.

The Client List report (including customer notes) now have a filter and order description part of the report heading. If you have modified these reports, you have to delete the custom report. To delete the custom report:
- Open Windows Explore
- Navigate down to the CyberAgent (C:\cagentv3) folder
- Now click on the Reports folder ((C:\cagentv3\reports)
- Locate the files USPC_ClientListNotes.FRT and USPC_ClientListNotes.FRX files and delete them.
- Locate the files USPC_ClientList.FRT and USPC_ClientList.FRX files and delete them.
- If they do not exist it simpley means that you do not have these custom reports.
Should you have any problems, please contact support to assist you.

The Client List report now also supports changes made to the Customer Notes section. Previously these would not have been appearing on the Client List report.

In order to make it easier to add content to these edit memo fields we have implemented a new utility that will make it possible for you to insert text lines from a list of previously recorded items. It is also possible for you to add and edit these items by clicking on the Edit Default List button above the item selection list.

Another cool feature is the Bold button. This button will add bold tags to the selected text. This text will then be displayed on the Internet as BOLD text.

This cool utility has also been added to the Property Notes form.

Please note that these fields have not yet been implemented in the reports and will be in the next version. Also, please email Johan@cyberprop.com should you be using these fields and would like to place them on your website.

All matching Suburbs will now display, where previously the list of matching suburbs was truncated after 5 entries.

The "Clt List" report now supports the Agent Name.

When the Slide Show is activated the property count is displayed on the top of the form.

The print function now also supports up to 5 pictures for display purposes. There are 2 buttons at the bottom of the form that enables one to increase or decrease the picture size.

Client View
When clicking on the Slide Show toolbar button you can choose between Slide Show and Client View. The Client View is very similar to the Slide Show except for the display of property information on the form. Buttons are as follow:

The Internet Property Number field was added to all the report options.

CyberAgent users can now sign up to download SAPTG records without subscribing to SAPTG at a fixed monthly rate. You can pay per amount of records downloaded... exact rates to be announced shortly.

We have made some major changes to the Touch Screen module. Unfortunalty the Suburb selection is not working yet. A new version will be posted by within a day or 2 to solve this.

Slide Show / Touch Screen
This module now makes provision for agencies to use touch screen technology whereby customers can search for properties.
One can now select to display only properties with pictures. If this option is selected you can also select to display custom pictures only. The reason for this is that the quality of the custom will in most cases be better as well as bigger as those used for the Internet.

MS Excel and Word output in reports throughout CyberAgent
It is now possible to select Excel output on reports within CyberAgent. The MS Word format has also changed and the content is not displayed in text boxes but as a fully formatted word document.

SMS Functionality on For Sale Boards
First of all, this service is totally free to all our customers.
How it works
After updating a for sale/to rent property, a unique Internet number will be assigned to this property. Agents can then on their for sale boards for example add the following:
SMS the number WWW 522 to 35476.
When potential customers SMS the number, they will receive a SMS with information regarding the property, agency and agent. The agent will also receive a SMS notifying them about the enquiry. The customer’s cell number will be included. As with website enquiries, the agent as well as the agency will receive an email detailing the information regarding the enquiry.

The SMS message sent to the customer also includes a hyper link to view pictures. If the customer’s cell phone can brows the Internet, they can view the pictures of the property.

This module has been developed to assist estate agencies to market and sell New Development properties. Up until now agencies had to contact us whereby we had to develop web pages to accommodate these new developments at a cost.
These developments were also only available on the agencies website only and not on all linked websites (www.cyberprop.com, www.real-estate-south-africa.com, www.tiscali.co.za and www.sundaytimesproperty.com).

This module will enable agencies to add the following information about each and every development:

3) Slide Show in CyberAgent

Slide Show - It is now possible to run a slide show from within CyberAgent. This feature will be very useful for agencies located within busy shopping centers or walkways. You can set the minimum price, record order as well as the time between pictures you would like to show then all you have to do is to turn a computer screen to the window and SELL!
