Word from the editor

Dear CyberAgent user,

An email that I received this morning read as follows;

That's just it! Who decides what you need?... our mothers?... our friends?... our colleagues? Surely we should know what we need? We know we need the basics like food, electricity, clothes etc... but what about the things you can't see and touch?... what about the things we feel... the things we should be doing in other people’s lives as well as our own? How do we know what we need to do in order to find that perfect yet elusive balance in our lives? It's quite simple actually...... you ask a question and then listen!

This is so true even in the Real Estate Industry. How do we know what we need to do in order to find that perfect balance in our real estate office? I’ve asked the question now listen to my answer. For me your teams, and not only the real estate agents but the admin staff also, needs to strike a perfect balance of local knowledge and in depth real estate experience. Furthermore I firmly believes that the websites of our CyberAgent users strikes the perfect balance between form and function.

How important is online marketing in South Africa?

  • “100% Broadband penetration by 2020” Roy Padayachee Minister of communications
  • Increasing Infrastructure
  • New cables landing in the continent to 2013 change data availability
  • Cost of data will reduce and speeds increase
  • Wireless will increase
  • Expect 20%+ internet penetration by 2015 in SA
  • Vodacom targeting 25Million data users users by 2013
  • Next 5 years matches last 15, World Wide Worx
  • “Ecommerce in SA will be R2.9Billion for 2011”, Arthur Goldstuck

You cannot afford not to have a web presence on the Internet! If you don’t gave a presence get it today still. Here at CyberAgent we teach our user that once you have your website to maximizing the effectiveness of it and to give the Internet browser what he/she is looking for. Best of all we encourage our users to list their websites as the most important factor in their business. Your website should be all around you, on all your printed material (business cards, invoices etc.)on all your print advertising, emails, signs even on the bumper of your motorcar.

I am not able to compete with the bigger estate agencies who operates in more affluent markets because my business are much smaller”. This can no longer be said. Make your website work for you. Best of all.. stay enthusiastic! Should you have any questions or need more information on your website or our CyberAgent software do not hesitate to contact the CyberAgent support desk.

Until next month!

Linprop - Daleen

It’s a great tool and its working...love it
Barry Davies - Franchising & Licensing Director Chas Everitt Property Group

What a nice feature to have!
Lindi – Y Property

Hi there, just a bit of feedback. I was wondering if you would not include adding a floor plan and virtual tour to the rankings? I think what you’re doing is a great idea to improve the quality of listings out there and including VT’s and Floor plans would add to the bulk of each property. Just a thought! Thanks, Deanna Cohen

Answer:

Not everybody uses these functions so that would give an unfair advantage to those that do submit it. Also we don’t capture floor plans separately so would be hard to tell which pic is floor plan

CyberAgent Programme Enhancements
Data Integrity Check

On CyberAgent Anywhere, a data integrity check has been added. Once you have logged in, a new link “Data Integrity“ will be available under the Quick Links section.

Agencies can click here and get a list of Sales, Property, Clients and Agents that have integrity failures.
The interface also allows you to see if you have the same agent name and surname captured having 2 separate agent codes. From there they can go directly to the entry in question and fix it.

This has been added to help your agency ensure that your data meets certain criteria and is valid data.
The data that you have captured has to be correct before it can upload to certain web portals. The data would also need to be correct for the management reports.

Items like bedrooms and bathrooms are been left blank and this causes certain validations to fail.
Some listings have mandate period where the starting date is greater than the expiring date.
This will obviously give false calculations when calculating average mandate periods and such.
This interface allows you to see where data MAY fail. It is up to each agency to ensure that their data is correct. This interface is an aid to help determine how good your data is.

Agent Teams Order

In the past agent teams displayed alphabetically. This caused problems when changing the leader. This has now been adjusted to show the agents in the order they are loaded. So if you wish to alter the first agent, you can create 2 teams with the first agent swapped around. From there you can alternate the agent in the property manager to make sure both members alternate

Just to recap, agent teams are created as follows:

  • First create each individual agent profile in the Agent manager;
  • Then create a new agent that will be the team “container”;
  • Mark this as an agent team, and then select the members. The first agent loaded is considered the team leader

" Comm. Rec. " field in CyberAgent

CyberAgent is glad to announce that you can now specify if and when you received the commission on a specific sale, this function makes the sales reporting much more convenient.

Outlook Zync

On desktop there is now a facility to add your contacts to your outlook address book.

Under Client manager is a new button “Add Contacts to Outlook”.

This will open a new form.

On this form you can search for a single client and add them to your outlook address book, or you can add all your contacts to your address book.

Please be aware that a name and surname search is preformed to try avoid duplications in your address book, but it may be possible for duplications to occur.

Location Validation

In CyberAgent Desktop, if a property is marked as For Sale, To Let or Both, you will not be allowed to continue should you have an invalid location. This is to prevent the associated website update failure and to ensure that the listings on the internet are loaded with an accurate location. If you get the error message, make sure you correct the location, or the system will not allow you to continue.

From our Support Desk

Build 3.10.1582 is now available. Please make sure that you are using the latest version of CyberAgent.

CyberAgent Reports

We are currently in the process of updating all the reports in the Cyberagent system. These updates will improve the look of the reports making them more visually pleasing.

Q&A Section

Q: How do I print reports out of Cyberagent?

A: This is quite a simple process, first you must open the property manager module. Then you just select the property which you would like to do the report on. Then at the top you click the button ‘print’. Then from the list that comes up select ‘report options’. Then a window will open up, on the left is a list of reports that you can choose from, a few examples are ‘window printout’ or ‘Blanklisting sheet’. Then you can export it to either a print preview or a PDF document or also to Microsoft word or excel and from their you can make use of your reports.

Q: How do I view stats of my properties

A: Log into Cyberagent and then open the property in the property manager module. When the property is open you will see in the bottom right hand corner is a button that says ‘view stats’. Click that button and you will be taken to an internet web page where you can view your stats. Please note that you will need to be connected to the internet to do this.

Q: Why do I get a message saying ’another user has already logged into this account’ when logging into cyberagent anywhere?

A: This either means a) that there is another person logging in with your details, you can only have one person per user account at once or b) that the account wasn’t logged out properly, when logging out of cyberagent please don’t just close the program, please go to the main menu and ‘log out’ or else your session is stored and will only expire in 30 minutes and then you can login again.

Should you experience any problems or have any questions, please contact our support desk on 011 955 9100 or email Support@cyberprop.com
From our Domains & Emails Desk

We experienced a problem this last month, where spam / unsolicited bulk emails were sent from domains hosted on our mail server.

Herewith advice from our hosting company:

It is nowadays a requirement to use strong and secure passwords

Passwords needs to be 8 characters long or more, and needs to contain at least one number

However in the past straightforward and uncomplicated passwords had been setup. (Most upon request from users, or by users themselves)

There are still domains setup on our server where so called “easy” or “unsafe” login credentials were used, which we obviously cannot simply go ahead and change.

It is therefore possible for these accounts / mailboxes to be compromised where a spammer can then authenticate with the login details and send out email messages.

We would like to strongly advice and recommend our customers to use stronger and secure passwords.

Can contact us so we can assist you with changing it, and help you update it on your mail client. (email program)

And for customers who have Control Panel access, we kindly request that you update your passwords if not secure

Also as our hosting company has advised, please check that your anti virus / anti mailware software stays up to date…

Please email me at dillon@cyberprop.com for more information or should you have any questions.

From our Webmaster

"Should I move over to Google+?” This is the question on the lips on many of our CyberAgent users.

I found the following article that will give you more perspective on this topic;

What Are Agents Doing With Google+?

Is Google+ really worth it? That’s the question a lot of real estate agents are asking themselves as they consider the prospect of adding yet another social network to their online marketing strategy.

InmanNext contributor Darin Persigner recently made the argument that Google+ is “a negative for productivity…at least for the moment.” Is he right, or should agents be jumping on the Google+ bandwagon as soon as possible?

To start answering this question, we decided to take a look at what real estate agents are doing on Google+ at the moment – before the new social network opens up to business profiles. Here’s what we found...

SAPTG

Knowledge Factory's data team remain committed to having the best property data portal in South Africa.

Our various datasets include CAD (Cadastral data), NAD (National Address Directory), Deeds data (from all Deeds Offices in SA) and data from the Surveyor General's Office.

Cleaning, collating, verifying and intergrating the data with our geo-coder is a series of complex steps.

We refuse to be complacent and work continually to refine the process.

However property professionals are actually the first to observe changes in their areas or pick up any errors.

These include street names, new developments, sectional titles or a change in the area's property profile (e.g from predominantly residential to commercial suburbs).

Let's move away from the cloistered "secret-agent" way of doing real-estate business in SA and embrace the new global standard: Share, Share, Share!

The faster we can track changes and update our data, the faster everyone can make accurate informed decisions.

Please send any new data, issues or missing data to our team at datalog@kf.co.za or fax to 086 6161 233.

Our new website is in bug-test stage and will soon go live.

EAAB – The EAAB and PASCO Mandates

It may at the outset be mentioned that during the previous six month period the Estate Agency Affairs Board (EAAB) has caused numerous investigations into a number of estate agency enterprises to be conducted especially in cases where there has been any suspicion of non-compliance. This fact underscores the commitment of the EAAB to efficiently, effectively and successfully discharge its statutory mandate of protecting consumers in their dealings with estate agents.

In response to your request for information as to why the Estate Agency Affairs Board (EAAB) cancelled the investigation mandates granted to Pasco Risk Management (Pasco), the EAAB would confirm that, acting on a resolution of the Executive Committee passed after careful consideration of all relevant matters, a letter immediately terminating the investigation mandates that had been granted by the EAAB to Pasco, was duly addressed to Pasco by Mr. Ashpol, the Executive Manager: Enforcement of the EAAB. Such letter was received and acknowledged by Pasco

IEASA National - WCIEA - Clarification of estate agent and principals' requirements

The position of estate agents and principals seeking to comply with the Estate Agency Affairs Board’s compulsory educational requirements has been clarified by the Chairman of the Board, Mr Thami Bolani and Portia Mofikoe, EAAB’s acting executive for Stakeholders Relations and Education, in an interactive and informative seminar recently held with the Cape estate agents at the River Club in Observatory, Cape Town.

Outlining the main points set out in the seminar, Sandy Walsh, Head of the Western Cape Institute of Estate Agents, said, “We welcome the extension granted by the EAAB for existing agents to achieve their qualifications and are pleased that there is no longer any question about the final dates.”

WCIEA - New IEASA GM

The Western Cape Institute of Estate Agents (soon to become the PPSA, Property Professionals of SA), has appointed Dianne Brock as its general manager.

This follows on the move of the former GM, Sandy Walsh, to a managerial position with a leading Cape estate agency.

Ms Brock was previously the manager of IEASA’s Property Placements division, which finds positions in the property sector for experienced agents and staff and newcomers willing to undergo a year’s internship. PropPlacements will continue to operate as before albeit initially with a lower turnover.

Ms Brock’s work background includes 20 years in the residential property sector, for 15 of which she was principal of her own agency, a franchise, in Fish Hoek.

“This is an exciting time to be involved with IEASA,” said Brock, “because the entire residential property sector is entering a new era, one in which a smaller number of highly qualified professionals will, I believe, raise the standards to unprecedented levels.”

Would You Rent This Apartment?

By PropertyGuru

When it comes to listing copy, we all know some agents have a tendency to over-state things. Which is why the following listing – picked up by the business2.com.au blog – made us smile:

North Bondi – crap place. Great location and view

Ludicrously overpriced, with carpet stained like an infant’s undies and a truly appealing paint job…. no, I meant a peeling paint job…… this 2 bedroom top floor North Bondi flat is perfect for the blind and/or less discriminating flatmate. Your potential bedroom is unfurnished although it does have the requisite four walls and ceiling so that’s a plus...

The 5 Biggest Mistakes Agents Make with Buyers Which of Them is Costing You the Client?

By: Tim and Julie Harris

1. Thinking Real Estate Is Only A Numbers Business. That’s very old school thinking. Yes, numbers are important for tracking your business. However, this is a people helping business. Always focus on what you are here to give. The numbers always follow.

2. Thinking of their Commission first. Too many agents focus on ‘making money’. In other words they don’t put ‘being of service to others’ ahead of ‘earning a commission. Learn how to help others in this market. All the rules have changed. Learn those new rules and the money will always follow.

3. Failing to Create Multiple Sources Of Leads. Think of it this way, if your only source of leads is over the phone prospecting, calling FSBOs, Expireds etc…what happens to your business when you decide to take a day off? What happens if you can’t make the prospecting calls because maybe you have laryngitis? Simple answer, no new business. You must have at least 3-4 predictable sources of new leads.

4. Only Working When You Feel Like It. ‘I am not motivated’ is one of the top excuses agents use to not take action. Here is a little secret for you: No One Feels Motivated Every Day. The successful agents work every day regardless of how they ‘feel’.

5. Confusing Busy Work With…Work. Listen, if you don’t have the consistency in your real estate business its because you don’t work consistently. There are 5-6 things you must do every day to be successful long terms in this (or any business). You must: Generate new leads, follow up with your existing leads, sift and sort your current leads for motivation, Negotiate contracts, and Present to Buyers and Sellers. Work in these areas daily, with consistency, to achieve consistent income.
